Before your start date or right when you start:

Complete employment forms

Within three days of your first day of work, you’ll need to complete several forms, including the federally required Form 1-9, which provides evidence of identity and employment authorization to work in the United States.

Obtain your J-Card

The J-Card is the Johns Hopkins ID required for most staff, faculty, and students to access university buildings and facilities, and to use certain resources. You will need to obtain a J-Card on your first day or as close as possible to your start date. Employees who are primarily based in East Baltimore should work with their department to obtain a blue and yellow JHMI badgeNote: The Johns Hopkins Enterprise Directory (JHED) Login ID you received in your new hire “Welcome Email” is required to obtain a badge and update your personal information in myJHLearn how to specify your chosen name for your work badge.

After your start date:

Enroll in health and life benefits

Within two weeks of your hire date, you’ll get a benefits notification email. You’ll then have 30 days to make enrollment decisions for health and life insurance (but don’t worry, you’re covered from your date of hire). Learn more about new employee benefits orientations and resources to help you choose your benefits.

Set up your retirement plan

Most full-time employees are eligible to participate in one of our retirement plans. Head to our Retirement Plans Enrollment welcome page to learn more about available plans and get started enrolling.

Get on board

myJH Portal

Johns Hopkins uses state of the art information technology to advance the university’s mission. A variety of university services and functions can be searched and completed using the myJH portal. Employees can customize their myJH login page to quickly access frequently used programs and to stay abreast of university happenings by reading news from the Hub.

University Policies

The Johns Hopkins University Policy & Document Library is a one-stop resource for all JHU university-level policies, statements and guidelines. New employees will find all Human Resources policies such as attendance, standards of conduct and performance, leave, termination, alcohol and drug abuse, university closures and more.

Benefits New Employee Orientation – We offer new employees a live benefits orientation webinar and a recorded online orientation is sent to you to help you better understand all our offerings, policies and practices.

Employee Self Service

Employee Self Service (ESS) is a convenient, secure and user-friendly enhancement to the central HR/Payroll system where employees can view their personal and payroll data and easily make changes, such as updating home and work addresses, adding/updating direct deposit information, changing tax withholding information, viewing pay statements and more. ESS also includes a link to the e210 timekeeping system for employees to review their timesheets and see the amount of sick and vacation time they have available.

Rehires/Reinstatements

A staff member who has been previously employed by JHU in a benefits-eligible status for more than one continuous year is eligible for the following benefits if he or she returns to JHU.

More information

  • If you resigned voluntarily and return within six months, you are immediately eligible for all benefits associated with your new position. The break in service will not be bridged for the purposes of retiree eligibility.
  • Total years of employment will determine eligibility for benefits based on years of service, such as vacation leave and tuition grants.
  • Vacation leave accrues at the same rate at which the employee was accruing vacation leave at the time of termination.
  • Vacation limits will not be reinstated; 22 days is the maximum of number of days that can be accrued and paid out upon termination for anyone hired or reinstated after July 2013.
  • Sick leave balance will be reinstated unless the balance was paid out as part of a retirement or RIF retirement (only one sick payout can be paid per employee).
  • University retirement contributions will reflect the rate approved on the date of reinstatement.
  • Employee’s original date of service will be reinstated.
  • If you were terminated involuntarily owing to a reduction in force and you return within 12 months, you are immediately eligible for all benefits associated with your new position.  The break in service will be bridged for the purposes of retiree eligibility.

If an employee moves from Johns Hopkins University (JHU) to Johns Hopkins Health System (JHHS) or vice versa, there are updated, expanded guidelines to provide greater flexibility and continuity, enabling a smooth transfer and opportunities for career growth.

Choosing your Health & Life Benefits

When you’re first eligible for benefits with JHU—whether you’re newly hired or are just becoming eligible for benefits—you’ll be asked to make some important decisions. You’ll need to make enrollment decisions within 30 days by going to myChoices Enrollment. Your elections are effective on your hire/eligibility date.

New Employee Benefits Orientations are held live via Zoom on the 2nd Wednesday of every month.

Ask Alex: Your virtual benefits counselor

As you prepare to enroll, you should have your dependents’ names, birth dates, and Social Security numbers on hand, as well as the names and birthdates of your beneficiary(ies). To explore your options, talk to Alex, Virtual Benefits Counselor. Just answer a few questions and ALEX will show you the plans that give you the coverage you need and explain each benefit if you would like to learn more. Refer to the chart below for an overview of enrollment decisions.

Take Action: Benefits that must be elected within your first 30 days

You must elect health, life, and many voluntary benefits within your first 30 days of hire or benefits eligibility. Enrollment is effective on your hire/eligibility date.

Health & life benefits: Medical, dental, vision, flexible spending accounts, short-term disability, life and dependent life insurance, accidental death and dismemberment insurance

Voluntary benefits: Critical Illness Insurance, Hospital Indemnity Insurance, Accident Insurance, Legal Services Plan

Worklife benefits: Child care voucher and child care scholarship

You may need to complete and upload one or more of the following:

  • Medical Coverage Waiver—to waive medical coverage at JHU
  • Affidavit of Marriage/Domestic Partnership—this can be provided in lieu of a legal marriage certificate
  • Dependent Eligibility Information—if you are enrolling dependents in your JHU coverage
  • Certificate of Previous Coverage for Long-Term Disability—to be eligible for immediate coverage under JHU’s long-term disability plan

Look Into: Benefits that are available immediately

You are automatically eligible for these benefits upon hire or rehire.

403(b) retirement savings: Available immediately upon hire or new eligibility; you are automatically enrolled at a 3% savings rate in an age-based target-date fund. You will receive a retirement plan enrollment email within three weeks of hire or new eligibility.

Worklife benefits: Johns Hopkins Employee Assistance Program (JHEAP), well-being programs, family and caregiving programs including backup care, Live Near Your Work, discounts

Enroll any time: Benefits that can be elected any time

Voluntary benefits: Auto, Renters, & Homeowner’s Insurance, Pet Insurance, Home Disaster Insurance, Identity Protection

If you don’t enroll in or waive your benefits within 30 days of your hire or eligibility date, you will receive the default benefits coverage listed below. Your next opportunity to enroll in or waive coverage will be during annual enrollment, unless you have a qualifying life event.
